FOR OWNERS, OPERATIONS LEADERS, AND CLIENT SERVICE TEAMS AT CUSTOM AND BUILT-TO-ORDER MANUFACTURERS

Some of your best work happens where your client can't see it.

Vistasuite is a private photo and video feed for every project you build. Your team captures it on the floor, in transit, and on site. Your client watches from their desk. No app, no logins, and nothing to rip out and replace.

Twelve weeks of silence is not a good client experience.

01 · THE DAILY REALITY

Every shop runs the same play when a client calls.

The email lands Tuesday morning. “Any update on PO 4471?” Someone gets up, walks the floor, finds the job, takes a picture on their phone, walks back, and types a reply. Fifteen minutes gone. Multiply that by every open project, every week, across a twelve-week lead time.

PAIN 01

The floor walk and the guessing session.

When a client asks where their order is, or whether Friday still holds, answering means somebody leaves their desk. On a busy week that adds up to an hour a day, and it lands on the person you can least afford to interrupt.

PAIN 02

The photos die on a phone or in an email.

Progress shots get taken. They get texted, or attached once and forgotten. Then they're gone — buried in a camera roll or a sent folder, attached to no job number, impossible to find three months later when a claim comes in or a client asks what the joint looked like before finish.

PAIN 03

The work you're proudest of is invisible.

The tolerance you held. The fit-up that took an extra day to get right. The finish your people wouldn't let out the door until it was perfect. None of it reaches the person paying for it. They see a date on an acknowledgment and a number on an invoice.

No news is bad news.

Your client is not sitting quietly assuming everything is fine. Silence gets filled in with worry — about the date, about the spec, about whether they have been forgotten. So they call. Then they call their boss. By the time it reaches you, a routine question has turned into an escalation.

Visual updates do the opposite. They show current state, current status, and current progress. Progress is the word that matters. Something is moving. It is moving correctly. It is moving on time — and your client can see it without asking anyone.

02 · A DIFFERENT WAY TO RUN IT

Four things to stop. Four to start.

STOP walking the floor to answer a phone call.

START informing your client before they ask.

STOP letting progress photos die on a phone or in an email.

START building a visual record of progress attached to the job number.

STOP defending your lead time.

START showing the quality work behind it.

STOP being measured on the ship date alone.

START being measured on every step to delivery.

Here is what most shops don't expect.

When a client watches a project get built — the fit-up, the machining, the joinery, the finish — the invoice stops being an argument. People pay differently for work they have seen. Your price was never the problem. The problem was that everything justifying it happened out of sight.

03 · HOW IT WORKS

Two links. That is the whole system.

01

YOUR TEAM CAPTURES

An upload link, posted at the work cell or printed on the traveler as a QR code.

Your team photographs the work or records a short video as the project moves — through routing on the floor, onto the truck, and out to the install. Photos, video, and PDFs all land in the same place, tied to the project from the day it opens. No app to install, no account to create, and no training beyond point and shoot.

02

YOU DECIDE WHAT THEY SEE

Everything lands internally first. You select what moves to the client's view.

No hunting through a sent folder. No downloading an attachment to re-attach it somewhere else. No copying files between drives. Your team's full record — including the shots taken to document a problem rather than show it off — stays private. You select the ones worth showing and move them over. Your client sees the finished story. You keep the whole file.

03

YOUR CLIENT WATCHES

A view-only link goes out with the order acknowledgment.

They open it in a browser whenever they want, and they are seeing progress in near real time. No login, no app, nothing installed on their end. It stays live for the life of the project, and when the job ships it becomes the project's permanent visual history.

04 · WHAT GOES IN THE FEED

Ten moments worth documenting for your clients.

You do not need a photographer. Two or three shots at each stage is plenty, and most shops are already taking them — they just have nowhere useful to put them.

01 Project kickoff Material received, job released, work begun.
The order stops being an abstraction the moment your client sees steel on the floor or lumber in the rack. Uploading at kickoff sets the tone for the entire build and buys you goodwill in the weeks where nothing visible is happening yet.
02 Work in process Milestone shots as the project moves through routing.
Fit-up, machining, welding, assembly, sub-assembly. Two or three frames at each stage is enough. The client stops wondering and starts watching, and your team stops fielding the question.
03 The quality that sets you apart Capture what separates your work from the competition.
The weld nobody will ever see once it is painted. The tolerance you held that the print did not require. The extra pass on the finish. This is the work you are proudest of and the work that is invisible in a quote. Show it while it is still visible.
04 Compliance, specs, and standards Show visually that you met the spec, not just that you said you did.
Material certs, weld procedures, coating thickness, torque values, required markings. When the spec is part of what your client is buying, a photograph of the work meeting it is worth more than a line on a certificate.
05 First article and inspection The measurement, the gauge, the sign-off — attached to the job.
First article and in-process inspection photos live with the project and stay retrievable two years later when somebody asks. Your quality records stay wherever they live today. This is the visual evidence sitting behind them.
06 Run-off and factory acceptance A short video of it running before it leaves.
Two or three minutes of the machine under power. Some clients still fly in for acceptance and some cannot justify the trip. Video does not replace the visit, but it answers most of what the visit was for — and it gives the people who could not travel something to review.
07 Detail and finish work The close-up that a wide shot always loses.
Grain match, edge profile, paint depth, hardware fit, stitching, polish. On custom work the detail is frequently the entire reason your client chose you, and it is the first thing that disappears in a photo taken from across the shop.
08 Crating and condition at shipment The finished piece, the crate, the label, the loaded trailer — dated.
When something arrives damaged and the carrier says it left that way, you have a dated file instead of an argument. This single use case has settled freight claims for shops that adopted it for entirely different reasons.
09 Transportation and delivery Condition on the truck, condition off the truck.
If you haul your own or manage the freight, the handoff is where responsibility is decided. Photos at pickup and at delivery close the gap — and your client sees their project arrive rather than wondering whether it did.
10 Installation and commissioning Site progress, final fit, walkthrough, and sign-off.
For anyone who installs what they build, the job is not finished at the dock. Site photos keep the client's facility team informed, document conditions you found on arrival, and give you a punch-list record everyone is looking at together.

The same feed does quiet work internally. Outside processing at the plater or the coater, nonconformance when something arrives off spec, change orders mid-build — all of it lands in the same record, whether or not you ever move it to the client's view.

05 · FITS WHAT YOU ALREADY RUN

We are not replacing your system. We are adding two fields to it.

You already have somewhere projects live. An ERP, a shop system, a project tool, or a spreadsheet that has outlived three attempts to replace it. Vistasuite does not touch any of it.

Integration is genuinely this simple. Add a custom field to your project record and drop in the upload link. Add a second field and drop in the client's view link. Your team clicks one. Your client clicks the other. Nothing syncs, nothing breaks, and nothing needs an IT project.

Want more control? Add a third field pointing to your internal master space, where everything your team captures goes first. The client-facing space stays curated.

No ERP migration. No API project. No implementation partner. No consultant on your floor for six weeks.

Two links, in two fields, in the system you already use.

06 · HOW FAST

Branded account in three days. Rolling in a week.

DAYS 1–3

We build your account. You do not.

Vistasuite sets up your branding — logo, avatar, colors, naming conventions — and builds the spaces for your current projects. You are not handed a login and a help article. It arrives configured to your shop, which is the entire reason this takes days rather than quarters.

DAYS 4–7

Your open projects go live.

Links added to your system. Your team gets a five minute walkthrough, which is mostly “here is the QR code, here is the camera.” Photos start going in and get attached to the project from the day it opens.

WEEK TWO

Clients watching in near real time.

The change shows up in what stops happening. Status emails slow down. Check-in calls get shorter. And the first time a client forwards their link to someone else on their side without being asked, you will know it landed.

07 · THE LINE ITEM YOU NEVER SEE

The cost of silence never shows up on a P&L.

It shows up somewhere harder to see. The client who went quiet and did not come back for the next one. The reorder that went out for competitive quote when it never used to. The reference call you were not asked to give.

Communication rarely loses you the job you are on. It loses you the one after it.

The reverse is also true, and it is the more interesting half. Clients who can see the work tend to stay, tend to refer, and tend to argue less about price. Not because the work got better — because they finally got to watch it.

08 · IS THIS YOU?

Built for shops where every project is different.

This fits if:

  • You build custom, made-to-order, or engineered-to-order work
  • Lead times run four weeks or longer
  • Clients call for status and somebody has to go find out
  • You may also deliver, install, or commission what you build
  • You have no internal development team and no client portal
  • You want to look like a much larger operation without becoming one

Most of the shops we work with run somewhere between 20 and 500 people. Below that the volume rarely justifies it. Above that you usually have someone on staff who has already been asked to build this.

Custom metal fabrication and weldments · Precision machining, tool, die, and mold · Machine builders, automation, and control panels · Architectural millwork, casework, and cabinetry · Industrial and capital equipment · Premium consumer and outdoor products · Custom plastics, rubber, and composites · Glass, stone, and architectural products · Signage and display manufacturing · Furniture and fixtures · Contract and specialty assembly · Custom packaging and crating · Anything built one project at a time

This is probably not for you if:

You run high-volume repeat parts where there is no per-project story to tell, or you have already built a client portal with visual documentation inside it. Vistasuite is for shops that want that capability without the cost of building it or the eighteen months of waiting.

09 · ALREADY RUNNING THIS WAY

The pattern is not theoretical.

Companies already use Vistasuite to prove physical work at a distance:

  • A commercial signage manufacturer documenting fabrication and field installation across multiple states
  • Product hauling operations capturing condition at pickup and at delivery
  • Commercial construction and homebuilding teams documenting progress for owners and lenders

Different industries, one problem: work happening somewhere the person paying for it cannot see.

Every shop says quality is the differentiator. Almost none of them let the client see it. The ones that do stop competing on price.

WHEN YOU'RE READY

See it on one of your own projects.

Twenty minutes. Bring a real project from your floor and we will stand up a live space so you can see exactly what your client would see. No deck, no discovery questionnaire, no pitch about digital transformation.

Request a demo.

Tell us what you build and we will show you what this looks like on one of your projects.
